Decide what "a mention" means
For most companies, a useful mention is a public page that a customer, recruiter, or journalist could reasonably read as being about the business: news, trade coverage, interviews, press releases, sometimes a substantial public discussion. A forum post that uses the same last name as the founder is not automatically a mention. Neither is a marketplace listing that happens to resell a product.
Write down the company name, short aliases, former names, and a one-sentence description of what you make or do. That context is what separates "Acme Tools opens a warehouse" from "Acme the cartoon coyote."
Cover the sources you actually appear in
Manufacturers often show up in trade journals first. Professional services firms show up in local business press and interviews. Consumer brands show up in reviews and larger news. Reddit and similar public threads can matter, but they need a human gate. No monitoring product sees every publication. Plan for a mix of automated search and the URLs your team already knows about.

Triage beats volume
Daily email that nobody opens is not monitoring. A digest you can clear in a few minutes is. For each item: publish, ignore, or edit. If a tool cannot do those three things, you still have a reporting product, not an operating one.
